How we use business contact data

Who we are
PropertyInvestorIQ (https://propertyinvestoriq.co.uk) is a property valuation and research tool for UK property businesses. It is a trading name of CODURS LTD, registered in England and Wales, company number 15818258, registered office 167-169 Great Portland Street, London W1W 5PF. CODURS LTD is the data controller for the processing described here. This notice explains how we handle information about the businesses we contact and the people who run them. It is separate from the PropertyInvestorIQ app's own privacy policy, which covers people who use the app.
What we hold and where it comes from
If we have contacted your company, we hold some or all of the following:
- Company details — name, company number, registered office address, SIC codes, incorporation date — from the Companies House public register (the free bulk data products and public API).
- Officer and PSC details — your name and role (director or person with significant control), as published by law on the same register. We store the month and year of birth Companies House publishes only to tell two same-named directors apart; we never store a day of birth and we never include birth information in any outreach or export.
- Business contact details — an email address or phone number published on your company's own website, recorded together with the page it appeared on.
- A record of our contact with you — which of our emails we sent to that address and when, and whether you opted out or subscribed.
- A short note about your company's website — before our first email we read a few public pages of your company's website (the home page and pages about sales, lettings, valuations or landlords - never team, staff or review pages) and keep a two-sentence observation about the service it offers, together with the addresses of the pages read. We do not keep a copy of the pages.
We do not collect special-category data, home contact details, financial data, or anything from social networks.
Why, and on what legal basis
We use this information for one purpose: introducing PropertyInvestorIQ to companies whose registered activity is buying, holding, letting, managing or developing property — by email to corporate addresses or by letter to the company's registered office.
How we prepare the first email. So that our introduction is relevant to your business rather than generic, the first email opens with one observation about your company's public website - for example that it serves landlords but gives no indication of rent. That observation is drafted by an automated system (see Anthropic, below), checked automatically and, while we are starting out, read by a person before it is sent. It is about your company's website, not about any individual: we remove contact details and people's names from the pages before they are analysed, and the email never names a person. It has no legal or similarly significant effect on anyone. If your website's robots.txt asks AI crawlers not to read it, we do not read it, and you receive our standard introduction instead.
How much contact this means. An introduction, and at most two follow-ups. Three messages in total, and then we stop whether or not you reply. We do not run open-tracking pixels or click-tracking redirects, so we do not know whether you read anything we send.
Our lawful basis is legitimate interests (UK GDPR Art. 6(1)(f)): ordinary business-to-business marketing of a service directly relevant to your company's registered activity, using data already published on a statutory register or by your own company. Our legitimate interests assessment is documented and reviewed at least annually.
If you subscribe to our research
Our introduction emails offer a separate option: asking us to send PropertyInvestorIQ research. That is a different relationship and is entirely your choice — nothing you do with our emails subscribes you. Opening a message, clicking a link or replying does not sign you up. Only clicking the subscribe link and confirming does.
If you subscribe we record your email address, the date and time, which email or form you subscribed from, and the wording you agreed to, so that we can show what you consented to and when. Our lawful basis for sending the research is your consent (UK GDPR Art. 6(1)(a)).
You can withdraw that consent at any time, as easily as you gave it: the unsubscribe link in every email, a reply, or a message to info@propertyinvestoriq.co.uk. Withdrawing does not make anything we sent before then unlawful. Unsubscribing also removes you from the introduction sequence.
Who else handles it
We do not sell or rent your address, and we never give it to anyone for their own marketing. Two service providers handle it on our behalf, under contract and only on our instructions:
- Microsoft (Microsoft 365), which sends our emails and hosts the mailbox your replies reach. Microsoft's data processing terms include the safeguards UK law requires for any transfer outside the UK.
- Hetzner Online GmbH, which hosts the server that holds our database and serves the subscribe, unsubscribe and privacy pages, in the European Union.
- Anthropic PBC, which provides the AI model that drafts the website observation in our first email. It receives the text of the pages we read, with contact details and people's names removed (a name can occasionally slip through in ordinary page text). Under its commercial terms Anthropic does not use this data to train its models. Anthropic is in the United States; the transfer is made under its data processing addendum, which includes the safeguards UK law requires for transfers outside the UK.
How long we keep it
- Company and officer details: for as long as the company is on the Companies House register. We refresh from the register monthly, and a company that leaves it is never contacted again.
- Your business email address and our contact record: while your company is in our dataset, so that we never contact you more than the three times described above. The record of which emails we sent you and when is deleted two years after our last message to you.
- Research subscriptions: while you are subscribed. After you unsubscribe, we keep your address and the dates you joined and left, as the evidence that we honoured your request.
- Sign-ups never confirmed: deleted after 30 days.
- The website observation: deleted 90 days after it was made, unless it was used in an email to you, in which case it is kept with the record of that email (two years, as above).
- Objections: if you object to contact, we keep the minimum needed (the suppressed email, domain, or company number) permanently — solely so the objection keeps working.
Your rights
- Object / unsubscribe: click the unsubscribe link in any email — one click, no login, nothing to fill in — or simply reply, or write to info@propertyinvestoriq.co.uk. For direct marketing the right to object is absolute: we suppress immediately and permanently, no questions asked. The suppression is checked again by every later process, so your address will not come back if our research finds your company a second time.
- Access: ask what we hold about you and we will send you a copy, free, within one month.
- Rectification: if anything we hold is wrong, tell us and we will correct it.
- Erasure: ask us to delete what we hold about you and we will, except the minimal suppression record that stops us contacting you again — deleting that would undo your objection.
- Restriction: ask us to stop using your details while a question about them is resolved, and we will hold them without using them.
- Portability (research subscribers): ask and we will send your subscription record in a common machine-readable format.
- Complain: to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow SK9 5AF, telephone 0303 123 1113, or online at ico.org.uk/make-a-complaint — though we'd appreciate the chance to fix things first.
